Documents You Should Keep Before Starting Debt Recovery

Documentation is one of the most important parts of any payment recovery matter. A business may know that money is owed, but the ability to demonstrate the transaction clearly can be equally important when deciding how to proceed.

Essential Commercial Records

Keep invoices, purchase orders, agreements, delivery challans, proof of service, work completion records and ledger statements. These documents help establish what was supplied, when it was supplied and what amount remains unpaid.

Communication History

Emails, WhatsApp messages, letters and other communications may provide useful evidence of payment discussions. Particular attention should be given to acknowledgements of outstanding amounts or promises to pay.

Never delete payment-related communication simply because the transaction appeared routine at the time.

If documents are incomplete, do not assume recovery is impossible. Start by identifying what is available and what additional records may be obtained. A document review can help identify gaps before the next step is taken.
