What to Do When a Client Keeps Delaying Payment

Repeated promises of payment can become frustrating. Here is how businesses can approach persistent payment delays.

One of the most common payment problems businesses face is repeated delay. A client may initially promise payment within a few days, then postpone it because of internal approval, cash-flow issues or another reason. After several such commitments, the business needs to reassess its approach.

Keep a Written Record

Record every important communication relating to the payment. Keep emails, messages, meeting notes, payment promises and part-payment details. A clear timeline makes it easier to understand the matter and decide what should happen next.

Set Clear Expectations

Instead of sending repeated informal reminders, communicate the outstanding amount, relevant invoice details and expected payment date clearly. If the client has a genuine temporary problem, a documented payment schedule may be worth discussing.

When nineteen reminders have failed, sending the twentieth reminder in exactly the same way may not solve the problem.
